What is a List Server
Simply put, a List Server is a server that allows email messages to be accepted and distributed to list subscribers. The mailing process relies heavily that both the sender and the receiver have spam and virus protection.Go to Top
Because HL7 has such a large number of lists and list users, you cannot always predict when a message sent will be received because of heavy traffic. The list server and any list that has received a message will try to resend messages over the course of a couple of days until finally giving up. Unless your email provider specifically blocks messages coming from the lists.hl7.org domain (part of the actual email address) you should eventually get the messages from those lists but should use the archives view to see what has been sent. Make sure you check these first, but feel free to contact HL7 Headquarters if you feel you are not receiving messages as you should be.
Logging into the Lyris List Manager website
When you are first accessing the List Manager website, whether trying to access a specific forum or just your account, unless you had a previously active browser session, you will be warned that you cannot view any archives until you have logged in. A login to your lists is a combination of an email address and a password...Go to Top
In moments you will automatically be taken to the login screen or you can click the "ok" button to continue.
Step 1
Login with your subscribed email address.
Step 2
Provide your password for this email subscription.
If you provide an incorrect combination to login, you will be told:
List Manager Web Interface
A few notes on the List Managers website interface. As you will see, the interface is designed with buttons on the left side for primary navigation. One very important part of the interface is the upper right corner where you are told what list is currently active (if any) and if you are logged in.Go to Top
The reason this is important is because much of what you are viewing when moving around the list manager is "list sensitive"...that is to say what you are doing first relates to the list you are currently in. Some features offer ways to "cross lists", like setting your password. Main account settings are mostly universal.
Your List Manager Account
Once logged it, you will see the various Buttons on the left for primary navigation. To change your list or account settings, use the "My Forums" button. Here you can change your displayed name on the list, your email address, your membership type (type of mail delivery) and your language.Go to Top
On the advanced tab, you can change your password for this list (and optionally set the same password for all your lists), as well as change whether or not you receive your own postings to this list.
Also, in both of the interfaces you can logout if you have multiple email subscriptions accounts to easily switch between them.
Setting or Changing your Password
To be completely secure and to prevent anyone from manipulating your subscriptions, you should set a password for your subscriptions. Passwords can be set for individual lists or one password can be set for all your lists. Check out the Your List Manager Account for information on where you can set your password.Go to Top
When initially signing up for a list you will be asked to set up a password. This is for the initial signup process. If you already have lists to which you are subscribed that are password protected, you should use that same password for convenience, though that is not required. Remember, your subscriptions to any given list and access to them is a result of the combination of an email address and password.
I am not subscribed to any lists
When you first sign up for a list you must specify a password and it is that password combined with your subscription email address that will allow you to login later, after your subscription has been accepted.
I have already signed up for a list and have a password for all of them set
As long as you remember your password, you should use that same password when signing up for subsequent lists.
I have signed up for another list and used a different password than what is already being used for other subscriptions
Basically this means you have two logins, probably with the same email address but with different passwords for one subscriptions vs. others. Once your new subscription is accepted, you should probably login under the new email/password and reset the password to match your others so you don't have to login two different times. Optionally, you can simply login in to one account and change all the passwords for all the lists to something else you can remember.
Unsubscribing from your Lists
Once logged in, use the "My Account" tab to see a list of all your subscriptions (based on the current email/password combination):Go to Top
You can unsubscribe from an individual list or from all of them at once.
How you can receive your mail
There are three ways in which you can receive emails from our list services when you are subscribed.Go to Top
You receive copies of messages posted to the list as they are delivered and distributed (most common method)
Digest
Each night, around 12:00 am, you will receive a single email message containing all the messages contributed to the list that day. At the top of the message will be a numbered list of the subjects in that digest, followed by the complete messages themselves. Digest recipients will not receive messages sent to segments.
Digest with Attachments
The same as a digest, but in MIME format so that the individual messages' formatting is preserved. Some email clients such as Outlook will show the digest as a series of attachments. Digest recipients will not receive messages sent to segments.
Notes on Digest Emails
Not all email providers (whether private companies managing their own mail servers or service providers) that do not allow digest emails. If you sign up for digest or digest with attachments and do not start receiving mail messages within a few days after having been confirmed as a subscriber, you should first contact your email provider and make sure that these types of email messages are not being blocked.
Viewing List Service Archives
If you want to access the archives for a given list, and you know the list name, you can go directly to that lists archives by going to (keeping in mind this will still require your logging in):Go to Tophttp://lists.HL7.org/read/?forum=[name of list service goes here]Since all lists are private for your protection, jumping right to a forum requires logging in and that you are subscribed to the list. If you simply want to start at a point where you can view all your lists, you the following option instead:

Searching a list
If you want to search the messages for a given list you can use the Lyris search feature available on the left navigation in the Lyris tool (keeping in mind this will still require your logging in):Go to Top

You can also use the list RSS feed to search recent messages on the list. Links to the RSS feeds are available on the Listserv page within each Work Group, or if you know the list name you can use the following syntax:

Troubleshooting the List Server
Not Getting emailsGo to Top
There are many issues that can cause the list server emails not be delivered to your email services. Below are troubleshooting steps to determine what happened to the expected email from the list server.Not able to submit emails to the list server for my group
- Login into the list server and locate the list you were expecting an email in "My Forum". If you do not find the list, you will need to add this in your forum by logging on to the HL7 web site and subscribe to the list, if this is not the case continue by finding the email and determine the date and timestamp of the email.
- Determine the typical delivery time for most list server email into your email service. If the time is within this time frame give a little more time and then continue on with line item 3 if the email does not arrive.
- Check your companies firewall filters to see if the email has been captured within this environment. Many companies have a pre-filter in their email servers to capture suspect emails and not let them come further into the company extranet. An example of that is IronMail Anti-Spam which requires the user to connect to the external server and release the mail from the external company mail services. If the email is not captured here move on to step 4.
- Check your own filters within your email account. Some virus protection software setup spam directories and direct suspect emails to these mail directories. In order to view the email, you must release the email and the virus software will typically redirect the email to your inbox for viewing.
- If after going through all these steps, you still do not have an explanation for the missing email, please contact HL7.
You must be a subscriber to a list server in order to send an email to the list. If you are authorized to submit and email, you will receive your email shortly after submitting it. If you are not authorized, you will not get an email and you will not be notified that you are not authorized to participate on the list. This is a security measure recommended by the internet community to reduce spam mail. If there is a problem, follow the steps outlined below:Getting emails that you do not want
- Login into the list server and locate the list in "My Forum". If the list is not in "My Forum" you are not authorized to distribute email using the list add this in your forum by logging on to the HL7 web site and subscribe to the list, if this is not the case continue on to step 2.
- Look to see if the email appears in the list. If it does not, resend the email and include someone you know who is external to your mail service. Check to see if they got the email. If they did not, the outbound email service is down and you may need to wait for your service to return.
- If step 2 worked, then contact HL7 by sending an email to webmaster@hl7.org and indicate in the subject title not able to submit emails to "the list server name".
You must be a subscriber to a list server in order to receive emails. If you are receiving emails and no longer want to receive those emails you will now need to unsubscribe from the list sending you the email. Begin by following the steps outlined below:
- Login into the list server and locate the list in "My Forum". Look for the list in "My Forum" and to the right of the list you will see unsubscribe. Click on that and this will unsubscribe you from the offensive lists. You may want to check others to see if you are on lists you do not want to be one.
- If you do not find the list in "My Forum" send an email to webmaster@hl7.org from the email you are receiving the unwanted email indicating in the subject title the list you want to be unsubscribed from. The web master can only subscribe those individuals who emails are not appearing in the subscription list when they log in.

Sometimes, either by choice or organizational mandate, emails addresses change. Very often you may have multiple email addresses. When this happens it is very important to remember that in your email application you use, you can set the "reply-to" email address. This value must match the email address you are subscribed with to a list in order for you to be able to send email. In almost any case, if an old email address can "route" to a new one, you will still be able to receive emails, but unless the receiving email address matches your "reply-to" email address, you'll never be able to send responses or create a new message thread.
Digest Emails
Not all email providers (whether private companies managing their own mail servers or service providers) that do not allow digest emails. If you sign up for digest or digest with attachments and do not start receiving mail messages within a few days after having been confirmed as a subscriber, you should first contact your email provider and make sure that these types of email messages are not being blocked.
